About the Role
We are seeking a highly organised, proactive, and trusted Operations Specialist to support the growth and day-to-day running of our Australian business.
Working directly with the Regional Leader, this role combines business operations, executive support, and people administration responsibilities. You will act as a key operational partner, ensuring the office runs efficiently while supporting employee lifecycle activities, coordinating business initiatives, and handling sensitive and confidential matters with professionalism and discretion.
This is an ideal opportunity for an experienced Executive Assistant, Office Manager, Operations Coordinator, or People Operations professional looking to play a strategic role within a high-growth technology business.
What you’ll be doing
Partner directly with the Australian Regional Leader to support daily business operations and strategic initiatives.
Manage office operations, facilities, suppliers, workplace requirements, and administrative processes.
Coordinate onboarding, offboarding, employment documentation, and employee lifecycle administration.
Support probation reviews, employee record management, and HR-related coordination activities.
Assist with recruitment activities including interview scheduling, candidate communications, and offer administration.
Handle sensitive and confidential employee matters with the highest levels of professionalism and discretion.
Manage executive calendars, travel arrangements, meetings, and leadership team coordination.
Prepare reports, presentations, meeting materials, and internal communications.
Organise office events, team activities, and employee engagement initiatives.
Identify and implement operational improvements that enhance efficiency and employee experience.

Skills We Need for This Role
Previous experience in an Executive Assistant, Office Manager, Operations, Business Support, or People Operations role.
Demonstrated experience supporting senior leaders, executives, or business unit leaders.
Strong organisational and time management skills, with the ability to manage multiple priorities simultaneously.
Exceptional attention to detail and a commitment to delivering high-quality work.
Proven ability to handle confidential information with professionalism, maturity, and discretion.
Excellent written and verbal communication skills.
Experience supporting employee lifecycle activities including onboarding, offboarding, and probation management.
Strong stakeholder management skills and the confidence to build relationships across all levels of the organisation.
Self-motivated, proactive, and comfortable working autonomously in a fast-paced environment.
Experience using Microsoft 365 and business productivity platforms.
